Questions and answers

Direct answers to the most common questions from people who book artists, produce festivals or plan MICE experiences in Costa Rica and Latin America. Each answer links to a full guide.

  1. 1.How much does it cost to book an international artist for a corporate event?

It depends on the artist, date, format and tour routing. Fees range from under USD 30,000 for boutique talent to over USD 750,000 for global icons, plus flights, hotels, riders, production and taxes. A firm figure only comes from a formal offer to the artist's management.

  2. 2.How far in advance should you book an artist?

Ideally 4 to 6 months before the event, especially in high season or with international artists. The recommended minimum is 8 weeks, always subject to the artist's schedule and offer approval.

  3. 3.What is a technical rider and who pays for it?

The technical rider lists what the artist needs on stage: sound, lighting, backline and timings. The hospitality rider covers dressing rooms, catering and transport. Both are usually paid by the organizer and budgeted separately from the fee.

  4. 4.What offer models exist for booking artists?

The most common are the flat fee (all-in or plus expenses), the guarantee plus box-office percentage, and co-production. They differ in who carries the risk: with a flat fee the organizer does; with box-office models the risk is shared with the artist.

  5. 5.What tax withholding applies to foreign artists in Costa Rica?

A 15% withholding under Article 53 of the Income Tax Law on fees paid to non-resident artists. Because international artists usually quote net, it is added to the organizer's budget. Orientation guide only; confirm with your tax advisor.

  6. 6.What permits does a festival or public event need in Costa Rica?

Usually: a municipal permit, a Ministry of Health sanitary permit, music rights, a security and emergency plan, and insurance. Requirements and timelines vary by municipality, so confirm them as soon as you have a date and venue.

  7. 7.How do you plan a corporate incentive trip to Costa Rica?

  8. 8.What is a DMC and how is it different from an event production company?

A DMC runs a group's logistics in a destination: transfers, hotels and activities. A production company focuses on the event: concept, stage, technical production and show. D+F brings MICE experiences, live entertainment and production together in one team in Costa Rica.
